Logging into OFAS

If you have already applied to a position in this faculty before, and thus already have an account, you can sign in using those credentials. If you already work at the University of Waterloo and have a WatID and password, you can log in using your normal credentials. If neither of these apply to you, you have to Create an account and then log in using these newly created credentials.

Applying to the Position and Application Status

You have until 11:59PM on the day specified under Hiring End to apply to a job posting; after that, you will no longer be able to submit a package to that posting. If you go back to the OFAS homepage where you applied to a specific opening and log in, you will see under Apply Now that you can either View your application or Withdraw it. Just note, that clicking on Withdraw will only indicate you no longer have interest in being considered for the position. Your application package will still be visible to the faculty reviewing applicants for the position with all the files you uploaded, but it will be marked with the Withdrawn status.

Adding to your Application Package and changing profile information

If you click View you can see what everything that you have submitted to the application package and you can check on the status of your references. If your referees have not submitted a reference yet, it will just say ‘waiting for reference’ next to the email of the referee. Here there is also a Resend Request option, which allows the applicant to resend the reference request email to their referees of they didn’t receive the email the first time. You can also add more files under View. This can only be done, however, until the status of your application has been set to Committee Review, then no more changes can be made; be sure to finalize your application package submissions as soon as possible. If you need to manage your profile to change something like your name, your password, contract information, or your work status, you can do so by clicking on My profile on the left hand menu.

If your application makes it further in the process you will receive an email detailing the next steps. If your application is rejected for the opening, you will also receive an email informing you of this decision. Either way, you will receive an email regarding your application to the position.

Letters of Reference

As you work through your application you will be prompted to enter the email addresses of your referees. The OFAS system will then generate an email to each of the referees that includes a web-link. Referees use this link to upload their letters of reference. Please check the status of your application to see which referee has provided their letters of reference.

Hiring End Date

Job postings will be removed at the specified Hiring End date Midnight Eastern Standard Time.
